I would like to give our PR VP rights so that she can link our Facebook, or other social media to our website. How do I do this, can i do it with limited access or does giving another person the rights to do this open it up completely. She is great at social media and i am not, so I would like her to be able to link our Freetoast site up with social media.

Also i do not see in writing this where my signature is going to be so i can include the club no. so i put it in the body, thanks.

Your club number is visible at the bottom of your post. Thanks for setting up your signature to include it.

I'm not much good at social media either, but I think that once the links are set up, everything is done on the social media sites themselves.

The links are a one-time thing, done on the Social Links tab in the main admin screen. Get the links from your VP PR, or whoever else has them, and put them in the appropriate fields. See support.toastmastersclubs.org/doc/item/social-media-links for details.

If you need your VPPR to set these up, she would need admin access. You could give her the password and then change it when she's finished, if you're concerned about long-term sharing of the password.

Well, unfortunately, the social media links are in the part of the admin console that also has the admin login info and access rights assignments in it.

Because of that, access rights to the basic website settings (with the social media links) can *not* be delegated at this time. You would need to share the admin password for that. (Not ideal, I know.)

I may reorganize things in the future to allow for that. I just have not come up with a good approach to reorganizing it yet.

the president would like access too, so i am thinking i will just create a different password and log in, I am now the treasurer. I want to make a more generic log in and password so they can use it. How do i create a new password? thanks.

Rachel,

In all three of my clubs, all officers are given the admin password with no issues at all. Our philosophy is that if we trust them enough to be leaders, we can trust them with the website as well.

But to change passwords, there are 2 methods.
  1. When you start to log in as admin, click on the forgot password link, that will send a link to reset the password.
  2. Log in as the admin, launch admin console, then click on the Administrator Info tab abd change the password

As far as the admin password goes, there is only one "registered admin" and only one "registered admin" password per club. Some clubs will elect to share that password as Roger is pointing to.

My recommendation is as follows:

Access to every module of the Admin Console, except Website Settings, can be delegated to one or two officers in your club via Access Settings. If you set that up, they will be able to access those parts of the admin console just using their member password. They would see a link to the module at the bottom of the Members Only Menu when they log in as a member. If you need to give access to the Website Settings module of the Admin Console, then you would have to share the admin password for that only.

Therefore, I recommend using the Access Settings to delegate access to club officers wherever you can, and only sharing the admin password if you absolutely have to provide access to Website Settings.

If you do this approach, you should not need to create any new passwords. You only would need to determine if you must provide access to the Website Settings module.

Why did they decide to only allow two officers access to each module. For instance uploading files all officers should be able to have access since we are all involved in making sure the forms are up to date.

"They" is me. If I get enough people with a compelling reason telling me to up the limit, I will do that.
