I like the idea to print the Officers on the side panel. And keep the information for the meeting at the top. Would love to have this as a Template. It would help the agenda look organized, clean and easy to read.

How about officer names / titles along the bottom then (footer?) rather than down the left side.

This is already possible... My club agenda has this.

Is that an agenda you put together, not one of the TMI agenda formats? I've tried doing it in the notes section, but there is no way to add a line return in notes that I've found.

I rechecked - and yes, I read the entire post, reprinted below FYI

You just need to use my fake footer approach. (unfortunately that oldie but goodie post from 2+yrs ago looks like it has been deleted) Any agenda item description can hold any kind of formatted text, not just an agenda item. The code does not really know it is an agenda item or not.

In my club agendas, we have officer and club contact info in a couple of "footer" items at the end. (So that meeting guests will have that contact information if they just keep the agenda.) No role assignments and no durations on those agenda items. ;)

Now, you've said that any agenda item can hold any kind of formatted text, but when I've tried that several times I have not been able to format in a way that puts things on different lines. Guess I'm not as techie as SteveTheTechie.

BTW, yes - in an agenda item it is possible to put items on a different line.

However, perhaps you missed this in my original question - in the NOTES section is what I asked about. When put into notes it comes out in one line (or wraps if longer than one line).

But, when put into an "agenda" item, you are correct - it can be done as desired for format.

I saw your comment about Notes, but that is not what I was referring to. Notes are just a text field that is intended to wrap.

Some of our members have difficulty getting the agenda to print on one page. It is annoying to go to a second page for one line or for a footer. This is possibly a printer interface problem. Our club has developed a few templates for various circumstances. There is a contest template, a regular meeting template and an extended version with explanations of all the roles and duties. Is this normal practice?

Would it be possible to have a scheduler assistance so we can enter recurring schedules? We meet EVERY Wednesday except in November and December around the holidays (like not Christmas or New Year's Eves). is there any way to automate that?

I think what you're suggesting sounds good. Anything that allows for more options to the agenda, is greatly appreciated.

Thank you Steve for working on this!

I would agree with others in the thread that the most important items to change would be:

1. Variable font size

2. Reduction in spaces in the Speech area

Some of my club members have a difficult time printing on 2 sides, so the ability to make the font and spacing smaller would be a huge help.

I am in a similar boat with people that have talked about a word template, custom HTML template option, etc.

For many years, back to FTH1 and probably all 25 years of our club we have used our own word template. When FTH 2.0 came around I thought we could switch, but the agenda is so different that I just didn't see it working.
In addition to the order of events we have a roster of roles for the day at the top. Who is filling which non-speaker roles for the day. We also use an outline like approach to group parts of the meeting.

Since we can create custom online agendas, help me understand fro techie POV why that custom level can't be done. Is it simply a matter of priority? If so I understand, just asking

I agree that your changes to the online agenda are great and tackling the printed version is much needed

I would like to see tags/ variables like you have in the Welcome Message. Agenda Items surrounded by curly brackets {{...}}. The cherry on the top would be to make them admin editable/assignable as well as having some defaults. Then we could design our own layout and pretty print it or import it into MS Word. Since every club seems to do it differently, a customizable Agenda could be tailored to meet any club's need.

Some examples:
{{time}} similar to what is there now,
{{speaker}} can be selected from a drop down but don’t limit it to just members (guests, former members, etc.)
{{president}}, {{VP-ED}}, {{secretary}}, etc.
{{role}} editable list of roles on a drop down.

Just my two cents.

It is a matter of me not seeing the benefit for the majority of clubs for the amount of effort it would take me to implement it. Only benefiting a few clubs does not interest me much.

So, while it probably can be done, I tend to invest my limited spare time where I think I can get the most benefit for the most clubs.

So, while you cannot impact my spare time, you may be able to impact my perception of the benefit to a lot of clubs beyond yours. At the moment, I am not sold and I do not want to just waste my spare time.

Club #3021 DDO Toastmasters Club (Montreal, Canada area)
We try to keep our agendas to one page, so don't print the descriptions. We use only one version of agenda for everyone.
In order to change the parameter to print the full agenda, we need to go to the admin console / meeting agenda settings/ global settings, and change option "Include role descriptions in the printed meeting agenda". Then return to the meeting agenda to print. Very time consuming and awkward.
Who needs printed agendas - and how do they use them? Can we selectively print different versions by selecting a printing option?
Lectern: one for the lectern - a full version with all descriptions and fields (may be retained for club records) that will be more than one page.
One for Toastmaster - for all prepared speeches and educational modules, with all intros, titles, speech project numbers + times, etc.
One for Chairperson/Secretary - for business session with all descriptions.
Meeting participants: in our club, we will only distribute a simplified agenda to participants. They don't need all the "nitty-gritty" but could benefit from clear/concise prepared speech or educational module info.

Are you going to do a similar thread for suggestions to the agenda editor? Or is that what you are talking about when you are talking about the email?

My suggestions have to do with changes to the agenda editor.

I do have two print suggestions, that I don't think I saw listed above . . . could have missed it though.

1. Have a selection to choose if you want the agenda to print only on one page.
2. Have the print default to NOT INCLUDE the URL data as a header? Currently I have to go into the print settings to manually remove that.

Both of these are really controlled by your browser, not us. We can do some print scaling for you, but that is in addition to what your browser does--there is no way to ensure that the agenda only lands on one page. Printing is very much depending on your browser... To do some of the stuff above, I will have to do some hacky stuff, as it is.
