Has or is there template for an email template to follow up Guests? Would be a useful tool if so.

Hi, coachmargaretriver !!!

This is an interesting idea, as guest follow-up is crucial. This might be a place to (briefly) discuss possibilities, but I suspect that it's not precisely an FTH support issue but a club support one. Here's why:

If we had a standard template, usable from FTH, then a visitor who attended multiple clubs would notice a somewhat standard form letter, coming from each club. This wouldn't exactly make the best impression. Instead, I'd propose that each club work out their own personalized template.

One paragraph might be a welcome that includes information that makes your club distinctive from the other clubs. Each club has its own style, club culture, and such. This could never be part of a standard template, and the next paragraph might be even trickier...

It would be nice to include a custom paragraph that includes something about the visitor, and what happened when they attended. This would require some extra vigilance on the part of the Vp-Membership, and perhaps a helper or two, but would show that your club remembers and values them.

NOW... we could add some more standardized paragraphs, but I'd still recommend that we come up with a menu of choices, to minimize the "form letter" impression for those who visit multiple clubs. Done like this, there doesn't seem to be a way to automate the process very much, but we might come up with some things that can help each other produce a better follow-up letter.

These are my initial ideas. What do you think?

As wesb indicates, it could be a challenge to create a standard template that would be usable by all clubs.

However, in terms of having an email template feature to support re-use, we already have that. It is available via Send Basic Email tool in the Membership Management module. Doc on this is here: support.toastmastersclubs.org/doc/item/email-tools

I may be looking at including some starter email templates in the future so clubs do not have to start from scratch... if you have suggested templates to include, please post those in the Improvement Suggestions section.
