Speakers not grouped together on Multiple Meeting Signup Sheet report 10 years 11 months ago #25455

Normally we have three speakers & evaluators. At an upcoming open house we have four speakers & evaluators.

When generating the Multiple Meeting Signup Sheet the speakers are not grouped together as expected. The four speaker roles are grouped in the XL version.

I've cleared my browser cache and ensured the speaker #4 role has the same settings at the other speaker roles.

What am I missing?

I can replicate this.

If you add another sign up role on the very next agenda, the roles appear on the report correctly. If you add the sign up role in a future agenda, it places it below all other sign up roles.

Great sleuthing Roger. Thanks.

Since our next meeting does not have four speakers I played with the role options to see how few options I could choose and still have this report function as desired. I know some of our members will freak out when they see a fourth speaker slot on the agenda.

The trigger that makes a field appear on the Multiple Meeting Signup Sheet is 'members can sign up' which makes sense since the report is a signup form.

Brad/Roger,

I am pretty sure that I know what is going on, as I have seen this several times and have a good sense of when it occurs.

Whether or not the situation occurs seems to be determined by whether the role that you have added actually exists in *all* of the agendas listed in the Multiple Meeting Sign-up sheet or not.

In Brad's case, the Speaker #4 & Evaluator #4 roles do not actually exist in the 5/22 agenda (hence, the N/A's). I assume that they show up in all agendas after that.

From what I have determined, when you have a situation where a role does not actually exist in all agendas listed on the Multi-meeting, those roles get moved to the bottom of the role list in the left most column. When you have roles that show up with N/A's, the ordering on the Multi-Meeting sign-up can get a bit funky. I think the roles in the *earliest* agenda on the Multi-Meeting sign-up are what is used to determine the role ordering at the left. I think that roles that are "found" later are listed after the roles "found" in the earliest agenda.

I think if you temporarily change the date on the 5/22 agenda to make it a past agenda so it does not show on the Multi-Meeting sign-up, you should notice that the ordering is as expected.

In other words, I would expect this situation to correct itself once you get past the 5/22 meeting, since I assume all roles would be represented on the Multi-Meeting sign-up sheet.

I think this could be improved if there was a way to allow us to tell the FTH system whether to use the first or last agenda on the Multi-Meeting Sign-up for the basis for the role column ordering. (Right now, I think is the first, left-most agenda that is used as the basis.)
