My club members have trouble finding speech slots... but I noticed that a lot of members drop their slots in the week before the meeting. In an effort to track this situation more closely, I've been looking at the meeting notifications sent to the Club Archive Email Address. I'm missing some meeting notifications, and am trying to determine why.

For our upcoming meetings, I noticed some odd things.

1) I can find no meeting notifications for members signing up for 20-May speech slots (until 15-May, when Jalal took over an abandoned slot (Speaker #2).

2) I can find no notifications for the abandonment of the 20-May Speaker #2 slot. And I'm pretty sure it was filled before. I have a printed Meeting Signup Sheet that I'm still looking for to verify.

3) I was signed up for Speaker #4 on 3-June and Backup Speaker on 17-June. For both meetings, I changed the Are you planning to attend this meeting? setting to No. It gave me an alert that I'd be removed from roles (what I wanted), and I confirmed the change.

I've not seen any meeting notifications for my dropped speaker and backup speaker roles. But even if there's something odd about roles dropped by un-attending, that's no clue for the missing Sign Up meeting notifications.

Sorry for so much stuff in one message. I'm data collecting at this point, mostly focused on the 20-May meeting. I'll be looking at others soon. Let me know if there is anything I can test that would help.

You don't have notifications set for when members indicate that they aren't attending. I think the system processes the attending and role drop functions separately. The non-attendance causes an automatic role drop, but because you aren't getting the non-attendance notification, you aren't getting it's implicit role drop notification. I suspect that if you switch on the non attendance notification you'll get the implicit role drop notification (the system is trying to minimise excessive notifications - you should only get one if you have both settings on).

missing Sign Up meeting notifications.

Sign up notifications are only triggered if a member actually logs in and takes a role. If someone with agenda editing rights assigns a role to a member, there won't be a notification. Is it possible that these roles have been assigned by someone else, and not actually "taken" by the member?

That's interesting – I didn't know about the notification settings for member attendance. We've just been using the TAKES and DROPS notifications since December 2014. We haven't officially used the new attendance feature so haven't paid much attention to it. I'll have to test those notifications to see how they work. Thanks for the tip.

I'm surprised about not getting notifications if someone other than the member changes the agenda. I think that the interested parties are interested in the TAKES or DROPS – no matter the method used, though I'm sure it's different for different clubs. I thought I was getting notifications of non-member changes, since I sometimes get messages like this:

The Website Admin has removed Ralph Smedley from the following role: President Opens Meeting


Now that I read the message carefully, it's talking about The Website Admin, which is different from a member with agenda editing rights.

I doubt that all four speeches for the 20-May meeting were added by non-member action, since our normal method is for members to sign themselves up – but I don't want to further waste anyone's time on this until I've done some testing with test agendas and test notification destinations. Please consider this request closed. Thanks for your help on this one!
