Recording Future Absences (prior to Agenda being created)

Locked 3 replies · 126 views

We encourage members to let us know when they will be away.
Agendas are generally loaded about a month out.  People tell us much further out, due to planned absences.

It would be wonderful if members (or admin) could record planned absences.
The "regrets" would then be pulled from that list.   (If pulling doesn't work, it could at least be something that we could reference).

Currently, have to store it in a seperate spreadsheet and populate.

Note:  I love the regrets part on the agenda.  It really helps.
Kind regards,
Jayne Little

The tool already exists called the Agenda, we will not create a separate tool.

Maybe I am missing something.

I'm not ready to populate the agenda, I don't know how many speakers, or if it will have special requirements, such as contest dates.

Can you create just a placeholder for a meeting, without themes, etc, and then apply without having to do rework?
Kind regards,

Your meetings are a fixed time so they can only have a fixed time for speakers. If you meeting fits 2 speakers and evaluators, create your template with 3 and you can quickly delete one pair.

Most clubs do agendas 3 to 6 months out.
You can always apply a contest agenda over a regular agenda, this will remove any signups for that date, but it should be far enough in the future as your district should have all dates published before September.
