Allow visiting Toastmasters members to be assigned meeting roles

Locked 3 replies · 218 views

Members of other Toastmasters clubs occasionally visit our club and volunteer to fill roles such as Speech Evaluator.

Currently, although they can be added to attendance as guests, their names are not available in the dropdowns for assigning most agenda roles. Unchecking “Members may sign up for this role” also hides the “This row evaluates a speech” checkbox, disrupting speaker and evaluator pairings.

Could visiting Toastmasters members recorded in attendance as guests be made selectable for all agenda roles, with the relevant role and evaluation settings retained?

For reference, this occurred with Vineyard Club Meeting #705, October 27, 2026.

You can set the member as Guest and put their name in the Role details.

Thank you.

That is actually what we currently do. We set the member as Guest and enter their name in the role description. However, this only displays their name in the agenda. The role itself is still marked as open for sign-up, as shown in the attached screenshot. It also does not allow us to assign the guest directly to the role through the dropdown

I appreciate the suggestion. I just wanted to clarify that the current workaround does not fully address the issue.

If you create a member called Guest with no email. Assign Guest to the role, it won't be open anymore
