Feature Request: Expose Agenda ID/URL and Agenda Role Variables in Email

5 replies · 97 views

Hi FTH Dev Team,We are developing a standardized "TMOE Cheat Sheet / Action Plan" email template inside the Email Agenda tool to automatically onboard and prepare our Toastmasters of the Day for upcoming meetings.While the current email merge variables support top-level leads (
{[nextmtgtm]}
,
{[nextmtgttm]}
,
{[nextmtgge]}
), we've run into two significant bottlenecks where functionality is currently missing:
  1. No direct Agenda URL or Meeting ID variable:
    • Meeting URLs use internal database record keys (
      /meetings/1989299/
      ).
    • {[weburl]}
      only resolves to the root club domain, and
      {[nextmtgcount]}
      only provides the meeting count/tally and is not even set.
    • Request: Add a
      {[nextmtgurl]}
      (or
      {[nextagendaurl]}
      ) variable that injects the direct deep link to the specific meeting agenda being emailed.
  2. No dynamic lookup for agenda role holders:
    • A core duty of the TMOD is to connect speakers to their evaluators and verify timing requirements prior to meeting day.
    • Because custom agenda roles vary across clubs, a static set of tags is impractical.
    • Request: Introduce a dynamic role token syntax—such as
      {[role:Role Name]}
      —that queries the target agenda's assigned roles (e.g.,
      {[role:Speaker 1]}
      ,
      {[role:Evaluator 1]}
      ,
      {[role:Timer]}
      ). If unassigned, it could simply return "Unassigned" or blank.
Use Case / Example: Below is a trimmed section of the briefing email we are trying to dispatch directly from FTH without relying on external spreadsheets or scripts:
Ensure Connections & Details:
  • Connect speakers with their evaluators:
    • Speaker 1:
      {[role:Speaker 1]}
      <-> Evaluator 1:
      {[role:Evaluator 1]}
    • Speaker 2:
      {[role:Speaker 2]}
      <-> Evaluator 2:
      {[role:Evaluator 2]}
  • Direct Agenda Link:
    {[nextmtgurl]}
Exposing these two elements in the email variable parser would allow clubs across the world to build powerful, fully automated officer-to-member workflow templates right out of FreeToastHost.Thank you for all your work maintaining and improving the platform!Jeffrey C. BTW, I'm a Software Engineer with extensive Full Stack experience and am happy to help if needed and even provide Security+ assurances.
What is your definition of "Full Stack"?

Full-Stack means you know how to set up a web front end, a modern CMS with JavaScript and Vue or React. IIRC though. THM is based on Apache Wordpress, isn't it? That's another CMS I'm quite familiar with. It used PHP as its backend.
Not even close.

LoL. Well, of course I have been writing web pages since 1993, or so, so I have seen about everything.
