Paid Club Officer Keeps Reverting from Active Member to Former Member in FTH

Locked 2 replies · 174 views

Hello,I am reaching out on behalf of Powder Springs Toasters Club #07251479, District 214.One of our members, Margeaux McClelland, who is also a current club officer, keeps being switched from Active Member to Former Member in our FreeToastHost site. When this happens, she loses access to the member area and her officer functions.I have manually changed her status back to Active Member several times, but the change does not hold. After a period of time, the system switches her back to Former Member again. No one on our team is making this change. Please note:
  1. She is a current, paid member of the club.
  2. She is listed as a club officer.
  3. No other members are affected.
  4. The issue has continued since the change to the new FTH site.
Could someone please look into what is causing her status to revert and correct it so she stays listed as an Active Member? If this is tied to a sync with Toastmasters International membership records, please let me know what needs to be updated on our end.I am happy to provide any additional information, such as her member ID or screenshots.
Found it: she's clicked the "No longer a member?" link in club emails three separate times, and each time an officer re-added her. Now I'll check which emails contained those links and look at their footer text.

All three clicks trace back to links in the "FINAL agenda" emails she sent herself, with each token matching an email's timestamp. Since some visits came from a different device, I'll check whether she clicked them herself or someone she forwarded them to did.

Other people are pressing a link in the agenda she forwards to them. She isn't doing it herself, and nothing on our side is changing her status on its own.How it happens:
  • As VP of Education she sends each FINAL agenda to herself only, then forwards it from Gmail.
  • Every email we send her has her own personal footer link: "I am no longer a member, please remove me from this list." The link is tied to her record, and it goes along with the forward.
  • People on her forward list press it to get off her list. The confirm page names her ("This will record Margeaux McClelland as a former member") and they press "Yes" anyway. That moves her to Former and emails the club (markesbrook@hotmail.com).
From the logs:
Moved to FormerLink came fromWho clicked
21 Sep 17:4020 Sep FINAL agenda107.136.49.74, Android Gmail
27 Sep 23:2827 Sep FINAL agenda162.206.205.127, Windows Edge5
Oct 00:094 Oct FINAL agenda162.206.205.127, Windows Edge
  • Each link was created at the same second as one of her FINAL agenda emails to herself.
  • She edits and sends agendas from 71.59.31.240, and that address never opened the link.
  • Neither clicking address did anything else on the site, apart from a failed sign-in and password-reset attempt from the Edge one just before its 5 Oct click.
  • On 5 Oct the Android address and a third one, an iPhone, opened the link again, but she was already Former so nothing happened.
  • Officers put her back each time: 22 Sep, 29 Sep, and today at 23:22. She's a Member right now.
It will happen again after her next forward. For the club now: she should send the agenda through Email Agenda to the members directly, so each person gets their own link. If she has to forward it, she should delete the footer first.

She needs to remove the "No longer a member" from emails she forwards.
