List of Role / Agenda Item Synonyms for Role Reports

Afternoon all, While I am familiar with the synomym function for role reports, is there an option available to simply delete old or inaccurate role labels?

Over the past several years, the number of random and redundant roles that have been created shocking.

As an example, we have literally dozens of *Toastmaster* variants available when creating or editing an agenda.  (In addition to an assortment of *Speaker* and *MC* roles.)  In addition to our VPE and President, the weekly Toastmaster has agenda edit access.

I would rather not restrict everything, yet I also would like to clean up the backend so that only the current agenda role options are available.

Thoughts?

Run the all role report, find the errors, and edit the agenda for those dates/roles.
All reports are based on the agendas.

I have considered implementing a Find & Replace function for agendas, but such functionality would come with its own set of concerns... e.g., if people mangled their agendas by doing bulk replaces.

The synonyms functionality is basically a "compromise" that addresses an issue while preventing mangling of agendas.

I would also be curious if you are consistently using named agenda templates(s) and whether you limit those who are creating the agendas to people who understand that they should use the named template(s).   Unfortunately, a lot of clubs just use the last dated agenda as their template for creating new agendas. I generally do not recommend this for the reasons you are seeing... it leads to inconsistency over time from people doing too much "tinkering".

Sorry Brian, seems I wasn't clear in my ask. I can get the details from the report and adjust for the "variety" of role labels to provide any info needed by the club.

My desire is to remove several of the flawed role descriptions from the auto-suggest list to clean up the system. Not all of the members servbing in the VPE, Pres or Toastmaster role have the same level of comfort and competency in using the admin features of FTH.

Hey Steve, we do have a number of agenda templates for our various meeting types. (Standard mtg, Business mtg, Educational, etc.)

While I spend time with each of our incoming VPEs to provide "training", our weekly Toastmaster also has the authority to edit the agenda for "thier week".

As a club, we have been using the system for over 10 years. I think It is no surprise that there are some vestigial "quirks" in our site.

The ability to delete these remnants would be awesome.

Jim once again I say, fix the agenda where the "ERROR" is and it will go away from the report.
