Hi -- Regarding typical new club members reading, understanding, and acting upon the opt-in email, I am one-for-three in two months. In other words, the only person who understood and acted was the new member with the Masters degree. The other two ignored the message: the meaning and intent were not immediately clear. Could the subject line be edited? I would like to suggest this change.

CHANGE the overly formal SUBJECT LINE TEXT FROM:

  • Pending Addition to {{clubname}} Toastmasters Website
  • TO a friendlier:

  • Your action requested for using your Toastmasters club website
  • - John H

So what you have posted is the subject line that you get for your copy.

The member gets the same subject line prefaced with "Action Required: "... that already happens.

You and everyone else simply need to follow up with their new members after adding them. As this would typically be the first email that new members receive from the system, they will have no idea what to look for and the email will just get left in the mess of emails we all receive. You need to alert new members to specifically look for an email with the subject prefaced with "Action Required". You may also want to set up a conspicuous subject prefix for your club emails if you have not already done that.
