Question re: Mentor Requests

I've looked through the documentation on Membership Management -- but I wanted to verify one thing.

When someone submits a request to have a mentor or to be a mentor, it says (in my club, as well) that the VPE is notified.

Is there nowhere in the FTH program where those requests are saved? I do see how to assign a mentor -- but that's not my question. My point is - if people have requested mentors in the past; but the VPE didn't act on those requests, are the requests archived or held in an area that can be accessed? Or, does that live outside the program?

It is all done via emails. The recipient of the emails is set up in the Mentoring Requests tab of the Email and Contact Forms module. Typically, it is the VPE, but it can be someone else.

We do not retain emails.

OK - that was my fear. I'd hoped it was done through an in-system reporting mechanism, so a report could be pulled (but, all the documentation seemed to indicate only the actual assigning of mentors was archived).

The mentor assignments are kept so that we can do some useful things with them, such as notifying a member's mentor when he/she takes or drops a meeting role. This way, we empower the mentors to know what is going on so that they can be more effective.

That's really interesting -- since i was actually assigned to be a mentor to a new member; and yet, I was never notified of anything :)

I have to poke around more to see what the options are.

My recommendation for larger clubs is always that they create an "honorary role" called the Mentoring Manager or similar, that is a more experienced member, such as a past officer, to be focused on the mentoring program under the direction of the VPE. This way, you offload your VPE (always good) and you give your experienced past officer something to "sink their teeth into" that they can take and run with. FTH actually supports this arrangement.
