Hi,

I am the VPE of King's Toastmasters (club 4190) and am working on improving our Mentorship program. I see that there is provision for Mentors to be notified when their Proteges takes, drops or confirms a role on the agenda etc, but from what I can see, that notification only happens if the Protege logs on and takes/drops/confirms a role themselves.

Is there a similar provision for Mentors to be notified if a Protege is allocated a role on the agenda by the VPE? Most of our members don't log on to our website to take roles - rather, I allocate the roles (after consultation with them). It would be great if Mentors could be notified when their Protege has been allocated a role. If that feature is there, I'd be grateful if you could let me know how to activate it.

There is a checkbox in the global settings to enable notifications when members are assigned in the editor. However, some clubs keep it disabled because it creates a lot more notification emails.

Thanks so much Steve, for such a quick reply! Is the checkbox you are referring to the one that says "Also notify members of role assignment changes made in the dated agenda editor"? If so, and if it is enabled, does that mean that every member gets notified of every change even if it doesn't affect them? Thank you so much.

Not every member, just the member being assigned in the dated agenda editor and those people who are identified above be notified. Essentially this is the analogue of when the member assigns themselves via the Take Role button... it is just that a different person initiated the action.

I think that clubs that think it is too much email notifications probably do both allowing members to sign themselves up as well as assigning them via the editor (probably is a lot of emails for that case). I just suggest trying it out for your club and notice whether the number of notifications are too much.

Thank you so much Steve, it sounds like that will probably suit us since no-one really ever takes the role themselves. I'll try it out as you suggest, and see how it goes. Thank you very much for FreeToastHost and all the resources - it's so full of features and it makes the job of VPE much easier. A million thank yous!
