Good day,

I see three agendas posted on our calendar. When I went into the agenda tab, I noticed the drop-down menu features three agendas for the August 6, 2021 meeting. We have a new group of board members and those with editing privileges may be unaware they are clicking buttons that is creating new items to appear. I noticed this another time and simply deleted the additional agenda and moved on. Now, this has occurred for a third time. This has even confused the secretary because, she reconciled an agenda dated August 6, 2021 thinking it was the correct one but it is empty (no roles filled). Is there a way to determine who created those other August 6, 2021 agendas? I want to contact the person so the person is aware of this matter and how to avoid it in the future.

All the best….

You need to train the people updating the agenda and not to use the "Save as New Agenda" and just use the "Save"

I agree. I have over three years of agendas on the website already so there is no need for anyone with access to edit the agendas to do anything. I am trained about how to use the site so when I edit the agendas I know how to do it. This has happened before and it causes me to have to go in and delete things, and it is confusing to the membership. How can I see who created those August 6, 2021 additional agendas?

You can't we don't track that information.
It has to be one of the members who has update access to that Agenda, so the number of people should not be that big.

People have occasionally requested to have some sort of audit capability in the system so that it could be determined "who did what" after the fact. However, we have not yet done that because it would require storing *a lot* of additional information in the database that would only be occasionally used. (e.g., essentially big cost for little benefit)

You should look at who has access rights to create agendas. Also, as it appears that the Save as New Agenda could be an unintended loophole for people to create new agendas that were not intended to have that right, I am thinking that I should maybe deactivate that button for members who are not agenda creators (vs just agenda editors) ... let me mull that over a bit. The "Save as New Agenda" button was added to provide an easy way to make a copy of the current agenda. Perhaps I should rename the button "Copy to New Agenda" or similar.
