The officer role handoff process seems to cause some confusion. This might be once TMI is updated some clubs forget the FTH site also needs to be updated to mirror those changes. Unsure if that is truly indeed the issue. A bit speculative here.

Let's say that's it. Perhaps FTH could send a series of automated messages to prompting officers nearing the end of their term to transition to the next person fulfilling that role. Provide some helpful tips and suggestions in this messaging.

Maybe even provide a space for the current role holder to populate the next person fulfilling that role. On the appropriate date FTH either updates automatically or prompts the club prez to approve. Approvals scheduled for the appropriate transition date.

Some clubs have 6-month and 12-month office cycles so club transition date needs to be captured.

Around this date a message is sent to all outgoing roles thanking them for participating on the FTH platform. Maybe give them some stats just for fun. Over their term how many agendas, roles fulfilled, login qty and other geeky goodness. Remind them FTH tracks history by adding links to personal progress reports.

New incoming officers receive messaging with role-specific links to the documentation to help onboard them.

Brian will likely chime in on this, but my understanding is that automated messages are a no-no, as they get perceived as spam. It is one of the reasons we use toastmastersclubs.org as the root domain name and not freetoasthost.org as in FTH 1.0... I think the latter got a bad reputation from too many unwanted emails being sent out.
