How about an online guestbook? Reading hand written email addresses is an adventure for hieroglyphics experts not Toastmasters. Ideally guests would be added to the prospects list automatically.

I've created a prototype for my officers to review using a Google form that will store info in a Google Spreadsheet that we can export and copy/paste.

While we are on the subject of guests. Can a field be added that will give the date they attended? Our list has never been purged. We cannot tell if a guest attended last week or 5 years ago!

Online guest books are a major source of spam and FTH will not support them. If you want to use a third party guest book you can iframe you are more than welcome to.

Any name added to your guest list must have given express permission to be added and receive email from the site.

You should have entries in your physical guest book that tell when they were there.

OH NO. NEVER a public guestbooks. That would be a nightmare.

I'm setting it up for member access only so that the SAA, VPM or assigned greeter can have the guest fill it in at the meeting.

There is an option in the Contact Form settings to save the contact details in one of your contact lists (and a custom group if required). See the Contact Form section in this document You could get your assigned member to get the guest to fill that in if they haven't already done so. You'd probably want the contacts to be made aware that they needn't contact that person.

I like the idea of having a date visited/entered as a field for the guests and prospects lists. You can currently add that information in the follow up notes, but I think seeing it on the main list would make it easier to choose which ones to delete.

All records in the db get a record creation date (automatic)... it is just a matter of whether I show that information anywhere. (Mainly used for diagnostics now.)
