Hello Friends,

I'd like to propose two changes to the way the mass mailings work for Toastmasters' clubs:

1) MAILING TO CLUB OFFICERS

Right now, when I email to my list of club's officers, the Reply goes only to me. I think it would work better for most clubs if the default Reply went to all the officers.

However, I would not want a mailing to the regular members to change the way it works currently. I think that all instance of Reply , except for the one to the officers, should continue to go only to the person who sent out the original message.

2) PROBLEM WITH SERVER ADDRESS

When receiving any Toastmaster mass mailings, we see that they all come from the same server address. Our nontechies get confused because, for example, they think a mailing to the officers went to all the members. I recommend that the incoming address refer to the list that was used. Perhaps the words Members or Officers should be part of the address.

Thank you for your suggestions... please note the following:

#1: Please review our online docs to learn how to use the reply settings:
support.toastmastersclubs.org/doc/item/email-and-contact-forms

On #2, that address will not be changed at this time. We need it to be consistent to allow corporate clubs to easily white list it in their spam filters.

Hi Steve,

Just in case I haven't expressed myself clearly, I thought I'd try again. I don't necessarily need a change in the address that we see from incoming email, just the language in front.

Here is what all email from our club looks like when I receive it:
  • Toastmasters Club 7556 on behalf of Clark Kent <server@toast...clubs.org>
In my ideal world, here are two ways I'd like to see them arrive:
  • Toastmasters Club 7556 MEMBERS on behalf of Clark Kent <server@toast...clubs.org>
  • Toastmasters Club 7556 OFFICERS on behalf of Clark Kzent <server@toast...clubs.org>
  • I
Is there a way I can do this myself? Is this something really not doable?

Ok, I see what you are getting at. This is not something you can change.

Also, the format is kind of standardized and used in several places, so it will require more than just a simple line change in the code.

Therefore, I am going to move this to the Improvement Suggestions section for future consideration.
(No promises... it will get looked at when I get back to that code in the future.)

This is a valid point you are making. I have a different approach that I have also been considering to address the same issue.

Ok, so I revisited this topic today...

Specifically, your suggestion of "Toastmasters Club 7556 MEMBERS on behalf of Clark Kent <server@toast...clubs.org>"

Bottom line, what you are proposing will likely lead to other problems...

Reason: The above address is actually supposed to be the *from* address, which I do not think should have the *destination* group reference in it at all, just the sender's name and club. All these emails must come from the server address to allow spam filter white listing.

The destination group is actually available to you and your members if you just inspect the full To address, complete with display name. The display name for the To address will always indicate the destination group, by design. Whether your email/webmail software shows that display name is unfortunately outside of our control.

In my case using gmail, the display name for the To address is sometimes hidden. and I have to use the little down arrow next to the To address in gmail to show the complete header details. The group reference is there, but I just have to do an extra click to see it.

Hi Steve,

The latest version of my suggestion didn't involve changing the server address, so I'm still hoping it's possible.

Following is what I had requested, and it involved a change only in the words that come before the email address: They would be getting something like:

Toastmasters Club 7556 MEMBERS on behalf of Clark Kent <server@toast...clubs.org>
Toastmasters Club 7556 OFFICERS on behalf of Clark Kent <server@toast...clubs.org>

What do you think?

You are missing the point.

MEMBERS and OFFICERS are the destination addresses but you are requesting that they be added to the From address.

I am saying that they are already in your email in the To address.

I am not going to mix semantics in the From and To addresses... it will create more confusion.

Hi Again Steve,

It's been over a year since we've "spoken," and I have no doubt that your technical grasp of the situation is superior to mine.

However, with all due respect, my intuition tells me that my original suggestion was a good and useful one. I think that implementing my suggestion would remove unnecessary confusion and would be helpful to the majority of our members worldwide, and I request that you rethink your decision from last time.

I believe that making a site or interface friendly to the nontechnical user should override almost all other considerations. Also: "where there's a will, there's a way."

If you want to send to a FTH list you have to use your personal email the is registered with your club website. FTH only provides email forwarders and that will not change.

Since members are sending to members there is no reason to hide who the email came from.
