An idea I have been mulling over...

I am thinking that it could be useful for club members to be able to request a speech information form be emailed to them that could be filled out with speech details and emailed back to the server at their convenience. This would continue my objective to enable clubs members to do more meeting activities via email.

My experience is that frequently members do not know what their speech title or introduction will be at the time when they sign up for a speaking slot. Currently, the only way to enter those details is by logging in and accessing the relevant agenda. As you may expect, this leads to speech information being missing, as fewer members want to log in any more. Thus having a way for members to email in their speech information could be helpful.

Things to keep in mind:

1. The speech information form would have to be explicitly requested by members (an opt-in). This prevents us from getting blamed for spam/more email.

2. The form would have to be checked after being sent back to the server to ensure that the role is still associated with the member and that the related meeting has not already been completed.

3. Since some email systems disable emailed forms (or show "scary" security warnings), there would have to be a fall-back mechanism like a simple web-form. This is a similar rationale to how the response links work for the agenda.

Hi Steve!!

It sounds useful. And for club circumstances where it isn't practical, a low-tech fallback might be to make just a plain text email available to the meeting Toastmaster, who could manually update the speech info.

I expect that clubs could implement something like this all by themselves, independent of any changes you add to FTH, but if you were going to do a fancy, more automated version, something like this might compliment it.
