Although the left panel has a box that shows the most recent members, who have logged in, where can I view or export the access logs? This would help our VPPR or IT Manager follow up on those who haven't logged in to troubleshoot further why they can't access the site and whether they missed the new member welcome email, etc.

Can this be a feature request? It would help enable the officers to know who hasn't logged in and iterate the new member welcome email and process for ensuring they can log in before they're automatically deleted within 30 days by the system.

We don't delete members who have confirmed their addition to the FTH websites. So don't know where you are getting that information.

As prospects who have not confirmed their addition to the website would never have logged in your reason is baseless.

I agree w/ Brian. You are getting bad information somewhere. Only members that have accepted the opt-in to the website can log in. The only way a member could be deleted after 30 days, is if they never opted-in in the first place. If they never opted-in, it would be impossible for them to show up on the access log since they could not log in.

Prospects, guests, etc. (non-members) cannot log in to the website at all.

To be clear, we *do* want your improvement suggestions for the system. (I have moved this thread to our Improvement Suggestions section of the forum so that it is kept for future reference.) However, just because you post an improvement suggestion, we are under no obligation to implement it. We are all experienced Toastmasters volunteering our time and technical expertise here to maintain the FreeToastHost system for the benefit of Toastmasters clubs.

Other things (since it appears that you are a newbie):

1. We *expect* you to post your club number (*not* your club name) with your posts either in each post or in your forum signature. A *lot* of how the system works depends on knowing the club number. If you either refuse or fail to provide your club number, then we reserve the right to refuse to provide any support.

2. You may feel that you are entitled as a user of the system. You are not entitled. The system is a *free* service. We do not relate to you as a "customer", because we are unpaid volunteers--you should be thankful that we are still willing to give up our valuable spare time to support the system. The least you can do is just be respectful so that we are inclined to want to providing support.

3. While we do want our users to be happy, we are focused on what will benefit a majority of clubs vs just one. If you do not like the system, you are welcome to ask us to delete your website and you can go with another system.

4. We take the input of all our users from the Improvement Suggestions section of this forum and our own opinions of what will provide the most benefit the system and its users as a basis for future updates. We will never make firm commitments on when updates will be completed, because that depends a lot on our (my) spare time to do those.

5. We expect you to get familiar with our Terms of Use and follow it.

Sorry for the confusion, but 90% of prospects in my 6 past clubs (7850496, 3461760, 6480331, 596430, 770392, and 2410520) don't opt-in within 30 days. Then, we have to track the prospects in Excel to add them back and then show them in-person how to do this. Now that we're sheltering in place we can't even show them in-person and have to rely on video conferencing when their attention spans are "Zoomed" out. Hence, some clubs opt-in on behalf of members, who have signed their application and consented to receiving mailings.

Without knowing who tried to log in, but failed, the VPPR has to track this manually as to which prospects to follow up before they're deleted from the system without notifying the admin or a countdown. If members opted in, they still don't know how to reset their password or log in even with welcome emails, slides with screenshots of what to do, links to support forum tutorials, etc. When clubs grow large enough, the past history of a subset of the members logging in may not be sufficient to track which new members haven't logged in except from role and attendance reports.

This seems to inefficient and frustrating for all parties involved whereby prospects and members slip through the cracks of logging in and officers don't have a easy way to be notified or figure out who hasn't logged in to follow up accordingly. Does anyone else experience this or have suggestions on a better way to ensure prospects opt-in and members log in from the get go?

1) Every time the site admin logs in they get warning on who has not accepted the opt-in, they need to share the information.
2) Your VP membership needs to educate the prospects that they will be receiving the opt-in email and to click on the accept link.
3) If you VP membership has access to the membership list then they can see who still has the crossed out names and email.

Thanks for the clarification. We set the club gmail account for the admin to avoid the unnecessary notifications. This explains why we may not see the admin message that you're referring to for those who have yet to opt-in or log in.

We've chosen FreeToastHost because it meets most of our needs with the highest return on investment relative to other options especially with regards to responsive, technical support. However, we'd like to bridge gaps in the marketing workflow to comply with regulations (e.g., Federal CAN Spam Act, General Data Protection Regulation) for streamlining processes that maximize effective use of everyone's time.

Currently, officers are overwhelmed with emails, so our club's archive account receives all notifications. However, most prospects ignore opt-in emails from This email address is being protected from spambots. You need JavaScript enabled to view it. because of automatic filters even when our VPM/VPPR follow up to remind them to click "agree". Thus, we frequently find these prospects are deleted automatically without us knowing which ones we have to re-add to the Membership Management Module unless we tracked this in a separate spreadsheet. This defeats the purpose of using FTH as a centralized resource with minimal redundant files and efforts.

In addition, we struggle with figuring out who to follow up for onboarding on how to use FreeToastHost without the ability to export who hasn't logged in except by marking those who did log in based on the panel view on the website. As a result, we have less than 50% adoption at most clubs, who have yet to see the full potential of FTH with its resources. Can the ability to view or export who hasn't logged in be a feature enhancement?

You need to educate your officers, members and prospects.
You cannot just add people to the website without telling them to expect the opt-in email.
The opt-in email has nothing to do with logging in, only members receive the second email with instruction on how to log in.
We will not be changing the process.
If a person does not click the accept link their information is removed from FTH and that will not change.
