Hello,

We used to have a membership contact file (excel and pdf versions) on our website under the members only files. We have recently discovered however that this file can be googled and found on the internet. A cached version can be opened. We have a member that MUST NOT have her details public for safety reasons and her work. We urgently need to have these details removed. Please help. This is a real concern for others also.

You can see the issue of you google 'Jude Tarr madhatters' there is a cached version that opens right up.

Not sure what you are referring to. I Googled what you said 'Jude Tarr madhatters' and see no links to any files. please provide the link you are referring to.

The one showing in good is the standard Meet our members page that you and your members have total control over. Your member can make her profile private and only members will be able to see it.

Roger that is the standard meet our members page nothing special. All the member has to do is make her profile private. NOT public.

If I go to your PUBLIC downloads page that files are still there you need to remove them

This is a cached version of the file which was prior to this in the members only part of our website.



I have since replaced the file with a blank copy in the PUBLIC part of the website and have contacted google to have them removed the cached version.



I am more concerned that the file was EVER made public and accessed through google since it was in the members only area. It makes me think that the security on the freetoasthost is not as secure as thought.

Per the file management documentation, support.toastmastersclubs.org/docs/admin...item/file-management:

All files are only visible to members, by default, when you first upload them. To make the files available as public downloads, click on the Lock/Unlock Button to the right of the file description.

Therefore, someone would have had to specifically made the file public. Also, I believe if you change a file's state in the file manager, you have to make sure you click the Save button for it to "take". I have had situations were I have made changes in the file manager, and did not click the Save button which did not give me the result I wanted.

Bottom line--any club that puts member contact information in a file that can be made public is taking a big risk of their members getting spammed. Even if the file is deleted or wiped, there are websites that capture and archive old versions of websites. For example: archive.org/web/web.php
