Hello FTH, we have an unusual problem:

The meeting agenda rosters for forthcoming meetings often do not match the multiple meeting sign-up sheet, which we pass around during meetings.

Some members who have been assigned a role for a given meeting, using the drop down menu to populate the available field for a given meeting, often don't appear in the multiple meeting sign-up sheet. This has led to some confusion when we print the sign-up sheet.

Any idea as to why this might be happening ? We noticed that the omissions tend to affect members with a tenure of < 1 year for some reason.

Can you please post a sample so we can see what you are referring to?

If the layout changes in your meeting agendas, that can cause some confusion in the sign-up sheet, but I am unaware of any reason that members who have already signed up would be dropped.

Hi Steve,

Attached are screenshots of our upcoming March 17 agenda, and the multiple meeting sheet which includes March 17. We see that the member who signed up to do a speech on March 17, Dan Riggle, does not show up on the multiple meeting sheet, but the toastmaster and grammarian do appear on both sheets.

For March 24, on the multiple sign up sheet, we see that Peter is listed as giving speech #1, but in fact he is down as evaluator for speech #1 on that day (I have not attached the meeting agenda screenshot).

I wonder if the fields in the different reports need to be re-aligned. If we have changed the layouts in the meeting agenda in the past few months, and that may have happened, then that could be causing the problem.

Patrick,

Your issue is that you are using Speech #1 and Speech #2 in two different titles.

Prepared Speech #1 and Prepared Speech #1 Evaluation are being read as being the same item.

Rename the Prepared Speech #1 Evaluation to Prepared Speech Evaluation #1
and Prepared Speech #2 Evaluation to Prepared Speech Evaluation #2

and everything should work out.

It is the numbered roles and how they are interpreted. For numbered roles, only the "word" immediately to the left is considered for determining what is another instance of the same role. For you, all your numbered roles look like speech roles to FTH for the multiple meeting sign up sheet.

You can get around this if you use underscores or non-breaking spaces so that what is considered as a word is longer and more distinct.
