First I must say that you have developed fine hosting sites. I have recently discovered the Roll Report function - it is awesome for tracking Toastmasters progress, even when they forget their manuals.

That said, I noticed that we are missing 15 Agendas, during 2015-2016. Someone must have deleted them & it is my understanding that these agendas cannot be recovered.

Going forward how do we prevent this? It's my understanding that only the site Admin & VPE have abilities to do this.

That's correct: only the VP Ed and admin can delete agendas. To help prevent unwanted deletions, make sure that only the admin knows the admin password (and, to state the obvious, that both the VP Ed and the admin are aware that agendas should not be deleted).

While it can be convenient to share the admin password with other officers (or members), it does increase the risk of something going wrong. Certain admin functions can be delegated to specific officers, which is a safer way of sharing the admin load.
