Good Morning!

I am trying to figure out how to use the print member name tag option. I have read your forum post on it but there seems to be something I am missing.

I would have thought that selecting the members from the member list, and selecting "make name tag" option, would automatically populate a page with the correct names. Do I have to manually add the information? If so, then why do I need to select individual names?

Also, I can only seem to pull up one "tag." There doesn't seem to be a way to create multiple tags. However, your sample at the bottom of your forum page on how to print name tags, shows a picture with 4 name tags each with a different individual.

What am I missing??

Refer to our doc on this:

support.toastmastersclubs.org/doc/item/creating-name-tags

You don't edit every name tag or put people's names into them. You just edit the template (the "layout") that all name tags will share in common and decide where the fill-in information (e.g. names) will go in that layout. If you use one of the pre-defined templates as a starting place, your life will be easier.

Ok,

I just selected and adjusted the template and hit print. Now I can see each of the names on the print preview. That is a help. However, How do I distinguish the officers from the members. For instance, I selected Nalin A, Doug M. Robin S and Tom Z, but Nalin is our SAA. How do I populate his name tag to include his officer role, while keeping the other tags without?

Well, first of all, given what you are saying, your officer roles are probably set incorrectly in Membership Management. (I looked)

The name tag tool goes directly off of what is in the MM info.

You can add in the officer role via the {{officerrole}} place holder.

The earlier screen shot was the original problem I was having. Here is the second shot.

Can I mix the names on a sheet and the ones with officer roles will populate but the regular members won't? I really appreciate your help. The two previous club secretaries both gave up on using the Free Toast Host option and printed name tags through an Avery Kit. I really want to be able to use what you are offering! Once I understand it, I can pass the information onto our new secretary. I am the club President.

As noted, just put the {{officerrole}} placeholder in the layout where you want officer roles to show up. Set the font size of the placeholder to adjust what the font size of the officer roles will be.

I strongly recommend printing on plain paper and cutting them out, since printing HTML is not always very accurate, so you may have trouble fitting the output correctly on perforated card stock. Recycle your name tag holders from the Avery kits.

Also, since your club name will show the same on every name tag, you can probably just ditch the clubname placeholder and just type in your club name instead if you want more control over how it is formatted w/ fonts and such.

BTW, you have to very careful when adjusting the margins. You may have multiple places to set margins (browser, and the tool, for example) and those settings can sometimes conflict w/ each other.

Nalin is our SAA. I have it set correctly on the website. I also have been printing out the cards now. The information is correct, but the size of the name tag is too small for our plastic badge holders and I can't seem to change it even when selecting a new size from the drop down. I am just using plain paper to print. Any tips on the size issue? Thank you for your patience!

If you need a different size, then you will have to start over with a different layout. (via the name tag templates)
Pay attention to the template details shown.

What size is the name tag you want?

The layouts and the print settings are tied to specific name tag sizes in order to optimize the printout.

Basically, you are building a table for the page layout. both the individual cell sizes (one nametag) and the overall dimensions and placement of the table as a whole make a difference.

My apologies for having to have run out to do some errands! The plastic sleeve that the name tag goes in is 3 3/4in x 2 5/8. The name cards themselves, that the other secretaries used with an Avery kit, are 3 3/8 x 2 1/2 in. I have clicked on several sizes and it doesn't seem to change when I go to print them. What keeps printing is 2 7/8 x 1 5/8 in.

no worries about missing the SAA! Hope you don't mind my persistence with this. I am hoping that in the end, I have a clear understanding of how to produce the name tags I want and can pass that onto the other officers. Right now, the gals who have made them are paying out of pocket to buy the Avery kits. It will keep personal expensed down if we can just use paper and the website to print.

Best,

Gillian

The layout template dimensions do not match what you have selected in the drop down, so you will have issues. The two have to match. Otherwise you are trying to force your layout to fit in table cell dimensions that are for a different layout.

There is no way I could think of to force those to match when I created this feature... you have to do that manually.

sigh...ok. But why does the one for 4 inches not print at 4 inches on my printer? I thought maybe I could crop it in the cutting of it, but it is not even close to 4 inches.

Thank you so much for persevering with me on this issue. Very kind of you.

Well, if you are having problems, then other people will be having problems, also... I have an interest in reducing problems.

What are your browser margins set at? Your browser could be shrinking the nametags to fit a smaller printable area because of margins.

Do you mean within the FTH name tag options or within my Google Chrome browser?

Google Chrome settings.

I use Chrome, also, so if you can give me a chance to get home from my day job, i will take a look and see what I can figure out.

Ok, I tried this using the 3.38"x2.33" template and settings for our test website.

Other than printing 6 tags per page instead of the intended 8, everything looks fine. I even measured the printed tags with a ruler as a check. I could probably get the 8 tags/page if I put a negative top margin offset to compensate for Chrome's layout mechanisms.

I think you should just pick a new template from the icon/pop-up and set the drop-down to correspond. Make sure that Chrome's margins are set to "default" in the print preview.
