Hi, when we have a member that still need to opt in who becomes a member we cant move it to members, also can we have an automation to send the new member welcome? the new system is already adding layers of difficulties for us, now after a member opt in we need to remember to log again and send the welcome email or they will never receive their login :/

I know that not everyone wants that but would be great to have an option so when the member opts in can receive directly the email

You should not need to move them anywhere once they have opted-in. From a visual perspective, the only thing that changes is that the strikeout is removed. Then they are just regular members. Behind the scenes, the system is just setting a couple of dates for tracking purposes... those dates control whether a person is considered opted-in.

As far as automating the welcome email goes, I have considered that. However, first we need to deprecate it and get rid of it in favor of using an email template for the same purpose. I need a way for users to indicate to the system which email template should be used as the "Welcome Email".

Let me rephrase it ..
I have a member who has been added as prospect, now she became a member and I was trying to move her to the members list but the system does not allow me for some reason, I'm not sure if its the opt-in getting in the way or not, anyway she opted in already and I was able to move her

Sean, but after she opted in I was able to move to the members list so unless you have logs you can't replicate it now

I'm not sure how this system works but when we add a member is because they are clients and we should be able to deliver adding them to the agenda

No, you are wrong. Opt-in is a regulatory *requirement*... You must have permission via opt-in to do *anything* with their personal information. Adding someone to a website is not the same as (and permission is *not* implied) joining a club. There are clubs that operate and add members without any website. The two are *separate* and *distinct*.

When someone adds their personal information to a website, they are accepting a risk to their privacy if the website gets hacked. This is why opt-ins are required for giving permission. While we and other systems do what we can to limit security risks, hackers are smart and keep getting smarter. Do not underestimate the real privacy risks that exist with any website that you submit your personal information to.

If we find anyone trying to subvert or disable the FTH functionality in place to meet privacy requirements, we will come down on them *hard*. Suggestions on how to make the functionality easier to work with ***while still being in compliance*** are *welcome*, but asking about or actively looking for ways to disable, workaround, or subvert the functionality will really *draw our ire*.

I'm not suggesting to revert anything, first for what I know this regulation is not in place for US yet, is an European regulation, anyway Im asking for a way to add someone to the agenda, there must be a way for us to at least have a placeholder or a nickname or whatever we need to put to write on the agenda that a role is taken, otherwise it will be very difficult to use the website in case someone does not opt in

It is the EU GDPR regulation... However, it applies to anyone that deals with people in the EU (have have websites for EU clubs) and we have been explicitly asked by WHQ to comply with this. As Toastmasters is an international organization with EU clubs, you are fooling yourself if you think this will not apply to you somehow.

You are welcome to your opinion, but we will do what we have to do, and you should also.

I dont understand honestly, I'm just asking ... what do I do if a member does not opt in but is a member? when he comes to the club and he says he will be grammarian or speaker, how do I put him on the agenda ti avoid someone else take the role? or if I can't put him or anything regarding him how do I make sure nobody else takes that role so he can speak? or should I tell him he cant participate in any club activity or he cant reserve his role unless he opts in?
Whatever is that TMH asked I have those quesitons, is there a way to handle this situation? complying with all the things TMH and EU wants us to comply?

Some clubs create a dummy member called {SAVER} or similar to save spots on the agenda.

You need to follow-up with the new member and persuade them of the value of using the website.

If they will not use it, then you will have to save them a spot and write them in.

Sorry... this is the new reality. We really did not want to have to do this, but we had to.
