We have been experiencing an issue for some time now that is intermittent but it has gotten severe enough that it's time to report it and see if there is a workaround that can help. I'll share the most recent example, and if more details are needed I can put in a proper QA report with steps to reproduce and all that. If anyone can help with some suggestions as a workaround, I'd really like to get this fixed before our next meeting..

As Vice President of Education a few weeks ago I accessed the site and I created blank agenda templates for dates in the future. Then I clicked on each future agenda and hit "edit" and added specific members to certain roles, for instance for Toastmaster. Michelle was assigned Toastmaster for next week, but now would like to be speaker. She logged onto the site, clicked the "x" button where she was listed as Toastmaster, and then clicked to add herself to a speaker spot.

The problem is her name still appears as Toastmaster, but there is no option for me or her to click "x" to remove her. There also is not an option for other club members to add themselves instead of Michelle. As VPE when I click the "edit" button for the agenda and view the entire agenda for that date, it shows that Toastmaster role is "unassigned."

I do not have a workaround at the moment, other than deleting the agenda and restarting, or perhaps asking the member to remove herself from attendance for that date, then add herself back in and see if that resets things.

I've attached screenshots. The first screenshot is what it looks like now on the agenda page. Note that there is an "x" next to the speech slot, but there is no "x" next to the Toastmasters slot. The second screenshot shows what happens when I click to edit the entire agenda, showing that there is nobody assigned. And yet the person's name persists.

UPDATE: I found a workaround. I went in to edit the full agenda (second screenshot), added myself as Toastmaster, then removed myself, and then hit save and close. That seemed to do the trick! It is still very annoying of a bug, though, because it is preventing the club from signing up for slots on the agenda. Some of our members are not very technical, so they assume they are at fault and give up. I'm not sure how I should go about creating agendas and assigning roles in advance (or perhaps leaving them blank?) so that we avoid running into this problem. It seems to come up at least once a month...

In the screenshot you provided the first Toastmaster role is available. The second one isn't as it is not a sign-up role (no hand up symbol), so the original assignment remains attached to that role.

You should use the asterisk notation for repeating roles (support.toastmastersclubs.org/doc/item/editing-an-agenda). All of your Toastmaster occurrences on the agenda will become unassigned when the Toastmaster clicks the "X" or the VPE removes the assignment for the first occurrence.

You haven't provided your club number, so we can't check your agendas. You might not be using the # symbol for speakers and evaluators either - you need those set up in order to use your role reports effectively.

Thank you! I think you are right and I'll have to look more into the repeating roles aspect and asterisk notation.
