Email from external applications
4 years 1 month ago
My club would like to set up a generic zoom account using one of the club officer emails so we have continuity across officer changes. It is to be an account that any of the officers can access if needed. Originally it was to be the officers distro, I found in the documentation that email isn't publicly-accessible. I've tried treasurer@carroolcreektoastmasters.org and treasurer-7174@toastmastersclubs.org and white listed "no-reply@zoom.com" and then @zoom.com. I'm the treasurer and making the payment.
Is this doable?
Thank you.

You would need the exact from email and the IP of the email server that it is coming from.

Thank you. They have about 48 mail server IP addresses listed on their site.

Then they have a problem with what they send being seen as spam. They don't use all those to send their bills.

Melody,
I have set this sort of thing up several times.
1. Whitelist @zoom.com in your club whitelist. You should not need any other zoom addresses.
2. While you can set this up with the officer list email address I do not recommend it as most of these services are set up to work best with a single email address as the "account owner". If they are checking IP addresses upon login, for example, using the officer list would likely cause them to detect varying IP addresses and force additional authentication measures to be required.
3. As you are the treasurer, you can just use the treasurer email or you could just create a new email address for the club's use using a free email account like gmail. You could also set this account up as the club's archive email address so it has some other utility for the club, also.
4. When you set the treasurer email in zoom, you should expect some type of confirmation email to be sent to that email address. This is normal, and will typically contain a button or a link for you to click. Your email service (or FTH) could flag that email as spam--you do need that email to make the email address change "stick". You should check for that email in your email agent spam folder. If need be, we can search our spam log to see if there is some indication of a confirmation email there that was flagged by SpamAssassin.

Steve,
I did white list @zoom.com and no-reply@zoom.com per zoom's instructions. I used an MX tool and found two mail servers with hostnames ending in a different domainname so I whitelisted that domain also, @pphosted.com. I have tried getting the verification emails sent to treasurer@carrollcreektoastmasters.org and treasurer-7174@toastmastersclubs.org. I sent email and had a non-toastmaster send email to the Carroll Creek address and they came through and flagged as possible spam. Normal stuff. I believe that FTH has flagged the verification emails as spam and that's why they aren't coming through. I also tried raising the SpamAssassin Threshold Score to 7 as I understand the lower the number, the less that will come through. It is back to our default of 5 now.
While I could setup a Gmail account for the treasurer, I really don't need another email account and want to stay with the FTH accounts. I think it is also simpler to keep it like the other officer email accounts.
Thank you.
