As I am a volunteer working on this in my spare time, I do not give commitments on timing. I will just say it is on my to do list, but I have a couple of other things that are higher priority, one of which I am working on at the moment.

I am trying to add this Meeting Attendance feature on our Toastmasters website and I am having no luck to look like yours. How do I activate this on our website


You haven't provided your club number so we can't check your setup. The Meeting Attendance Sheet is on the last tab of the dated agendas in edit mode.

I also like the attendance feature and am waiting for the reporting output (e.g., excel) to replace our tab on the education tracking matrix. When will this be implemented in your spare time relative to the other priorities to help clubs to plan accordingly?

In any case, for all the lurkers' benefit, I actually *have* started work on an attendance report feature.

However, i do want both an HMTL and Excel version.

I am currently stuck on how to best do the pagination for the HTML version given the possibility for a *lot* of attendance information. I took a break and will come back to it later. :S

:arrow: I am usually working on 5-10 new features and updates at any one time. I absolutely will not commit to completion dates, and any attempt force me to a particular date will only serve to irritate me. After all, it is *my spare time* that I am using for this, not yours. I also have a day job that is *not* IT/software related.

Ok, I figured out that I could add the Excel based report without too much effort by copying the basic code from another Excel report. (I will keep working on the HTML based report later.)

Anyway, you can now get an Excel based Attendance report as follows:

Thanks so much Steve, I've really been looking forward to this feature. It looks like on our side we need to get disciplined to update the attendance.

I also noticed a discrepancy in the Excel report, with some members who were present (like me) reported as N/A.

I've attached a screen print of both the attendance record in FTH (yes, I did press SAVE), and the resulting Excel file. I did it multiple times and it didn't change. One other thing that's not so important is the report date. It appears to be picking up your date, not mine. I'm in a somewhat different time-zone. It doesn't bother me but other club officers may be confused.

I don't know if the hardware/software on my side makes any difference, but I'm using Win 7 Ultimate 64, Google Chrome and Excel 2013.

Allan - I think the "N/A" problem is to do with the way you have your names set up in Membership Management. The System doesn't seem to like the hyphens you use to separate names and qualifications. Commas or blanks seem okay. I've removed the hyphen from your name (changed from Allan Page - DTM to Allan Page DTM) and your attendance is now correct. I haven't changed the other member names, will leave you to decide whether you want to put the hyphen back in your name, or change all with qualifications. I'm not sure if Steve can allow/recognise hyphens, but it could be complicated if you have names with genuine hyphens such as Anna-Marie Smith-Jones, so I'd suggest you remove the hyphens you are using as separators between name and qualifications.

I'm not sure about your time zone problem, I think all of the calendar time issues have been sorted out. One possibility is that your computer time zone differs from your club/FTH time zone. The calendar shows club meeting times relative to your computer time.

The hyphen in name thing has been resolved.

I am not seeing an obvious issue w/ meeting dates. The dates that are shown are whatever you selected in the agenda module. They are not adjusted for timezone... they are just whatever you entered which I would presume would be for your timezone.

I have now gotten the HTML version of the attendance report done to the point where I feel comfortable releasing it. I still need to do a few minor stylistic tweaks (fine tune font sizes and add vertical grid lines), but it is good enough that you should be able to get some use out of it.

This HTML version is notable because it is designed for printing a large amount of attendance information. I have implemented my page spanning techniques for this report that I developed for the revised HTML Meeting Sign-up Sheet feature. As long as not too many members are shown at once on the page, the page breaks should be located appropriately.

One note on a subtle way that this handles which members show on which pages... I am not currently limiting the names in the left column to just those represented by the meeting dates on the respective pages of the report. All members that data is found for are shown on all pages in the report--I am thinking we may want to change that... I would appreciate your feedback on this. (The HTML Meeting Sign-up Sheet feature *does* adjust the roles in the left column to always only reflect the roles in the meetings on the respective pages for multi-page print outs.)
