I am recently appointed as VP Membership for my group.

I seem to have missed some memo regarding retention for prospect.

The issue I have is that I signed on and it said some folks never responded to the opt in and they are deleted.

My assumption was that I would be able to use FTH for management and did not keep good notes on at least one of these people.

Is this data gone forever?

Would someone point me please to the details on this? Is this not a configurable item?

If anyone does not accept to be added to the website their information is DELETED and cannot be recovered. This is because of the privacy laws.

You need to communicate exactly what you need from the person being added.

I understand.

It would be nice to have a longer retention time or maybe a pop up.

I have been very clear that people need to respond. My success rate in the short term is about 60/40. 

As a new administrative type user of a system that had been attempted to be used, I saw a great deal of stale data and did not realize this would be included.

I think the follow up question for me, is, is there a log of the emails that go out to prospective members?  Or, alternatively, how do other people handle tracking data?  I would like to not need to maintain lists or logs and keep everything there.

There's no email history log. You can use the archive email feature to capture and club emails.

See the section in this document called 'Club archive email address + login info';
