Venue now showing up on agenda, even though not chosen in template
2 years 10 months ago
Hello, For some reason, the venue suddenly appeared in our agenda even though our agenda template does not have it ('none' chosen as venue in the template). It shows up in the screen used to navigate and even for previous agendas now, before this glitch appeared (just days ago). I think even some old agendas where Zoom was chosen as the venue, this other venue (our physical venue) has replaced that in those agendas.
Not only so, it shows the phone number (without the name) of a former member, though it's unclear if this member's number is showing up because this person was VPPR or because this person was webmaster (doubt it, there seems to be no phone number specifically for the webmaster) or because some of the settings were such that the VPPR had certain access. This person also used to be one of the people to whom inquiries sent via the contact form went and had their phone number displayed in the contact form popup. This person's phone number shows up even for those agendas before joining the exec or being webmaster (see example).
Our club started using agendas on the FTH platform sometime after this person joined as a member, so I can't tell if this person's phone number would've showed up for agendas prior to their membership, but I suspect this glitch would've caused the same thing. Something I just checked right now is that an old agenda will print the current executive when choosing "TM Layout", which is another error, as it should be the executive at that moment in time. And now I also see that the notes on old agendas will show with the former members' names even though the former members' names don't show up in the roles. I personally think it'd be great if the agendas were left intact (like the header, it still shows the then-current header (i.e., default meeting description)), but if the former members' names don't show up in the roles for privacy reasons, then they shouldn't show up in the notes either.
I had chosen not to bother with selection of the venue since it doesn't show up on the printed agenda, which perhaps could be a suggestion for an improvement, to give the option of showing the venue on the printed and/or emailed agenda. I probably should start selecting the venue now, since our club now sometimes meets in person, sometimes online, but anyway, it would be helpful if it would show up in the printed and emailed agendas and if this was a choice.
Anyway, I hope the errors can be fixed soon, and preferably if the improvement can be implemented as well. Thanks.

We always need your club number to provide club specific assistance.
There does seem to an issue with the first venue showing up when 'none' is selected - that will need to be addressed by our developer.
I suspect that the phone number is included in your venue description - try editing that venue (again - we always need your club number to assist).
The venue isn't included on the printed agenda - the assumption is that anyone with a printed agenda is at the venue or knows it. There is a note saying "Location can be found on our website ..." if you use the TM layout
There is an option to include or omit the venue on the emailed version of the agenda
The club officers printed on the agenda when using the TM layout are based on the officers listed on the website at the time of printing. You can find your previous officers on Club Central on TI if you need them. FTH doesn't attempt to duplicate the information available elsewhere. I can't think why anyone would want to print old agendas. If you do want to keep that information for future agendas (which will eventually become historical), you can include the officers in the header of your template and change that when officers change. As long as the agendas are created during the tenure of the officers on the template, the header will be saved on the dated agendas, and will be included in the FTH print version.

Re: Venue now showing up on agenda, even though not chosen in template

I did a bit more investigation, and yes, the venue details have the phone number, so I simply removed that. However, it seems whether I choose the physical location (choice #1) or no venue (choice #0), I get the physical venue showing, regardless of what's in the template or if I'm trying to override the template for a particular meeting. If I choose Zoom (choice #2), then Zoom will show up fine.
I think it would be more complete if the venue could be opted to be shown on the printed agenda, as agendas in general (like agendas for an organization's AGM or for workplace meetings) will generally show a place. This seems like it could be accommodated fairly simply, given that it is already an option on the emailed agenda (yes, thanks for reminding me that it is indeed available for the emailed agenda, I forgot it was actually there since I chose not to bother if it wasn't printed).
As to the current exec showing up on old agendas, it seems almost like a form of gaslighting(!). If a club wanted to retain the agendas for historical purposes, it should show up accurately for the details that are applicable or otherwise redacted (like former members' names), but it shouldn't be changed altogether. E.g., if you wanted to prove you lived at a certain place at a certain time, an old bank or utility statement should ideally show your address at that time and not your current address. Also, it's rather awkward to put the entire exec committee in the header rather than just in the side panel.

Thanks so much! I see it's been fixed.
In testing out the fix, I noticed a similar issue for the venue as for the exec, in that if the current details for that particular venue are different from the then-details at the time of an old agenda, the regeneration of the old agenda will use the current details. Is it possible to create the agenda with then-current details of the exec and venue? (Otherwise, maybe put in a note somewhere for clubs to save a PDF copy as clubs may not know that regeneration uses the current details. That might be the easiest workaround.)
Also, would it be possible to add the venue as one of the print options?
Let me know if you would prefer me putting that into suggested improvements. Thanks!
