Email troubleshooting
Most of the time, the FreeToastHost email system just works, which is quite impressive when you consider how many people are using it. Occasionally, people run into problems with it, and some of the more common ones are listed here.
I sent an email and nobody got it.
- You used the wrong address to send it. A common mistake is using a work email address instead of a personal one. You can add a backup email address to your profile if you need it.
- You mistyped the mailing list address, or there is a typo in your address book entry. (It's very easy to miss an "s" in "toastmastersclubs")
- You haven't been added to the club membership list yet.
- Your company blocked the email, if you are sending from work.
- Your club has a custom domain and something is wrong with the DNS setup (it does happen). You can look up the settings with https://viewdns.info/ and compare them with the information in DNS setting for custom domains. Let your club admin know if something is wrong.
- Your email company's server is on a spam block list. You can either wait and try again later, or let the company know so that they can get it removed. (Some companies are better at doing this than others.)
I sent an email and some people received it, but not all.
- It may have gone to some members' spam folders. You can ask them to check.
- Someone's name may be on the FTH system-wide email black list. If so, other members sending to the same club list will most likely be having the same problem. Ask your club admin to add the email address to the club whitelist.
- Some members may have set vacation dates in their profiles.
Why can't I email a particular officer?
- The officer may have checked "Do not create a club officer email alias for me" in their profile. Some do this because they are getting so much spam.
I get an error when I try to send to guests or former members.
- Only club officers can send to those lists. This also applies to custom groups made up of people from those lists.
I click a link to send an email from the club email listing, and I get an error.
- If you choose the option "Yes, via System Email Client", you need to have an email program installed on your device (separate from your browser), and the system needs to know to use it when you click on email links. Otherwise, the email will not be sent and you may get a message asking you to install an email program.
- You don't have to install an email client if you prefer to use your browser for email, but in that case you need to use the "Yes, via Website mailer" option.
How do I access my club or District officer email account?
- FreeToastHost is a mail forwarding service only. It doesn't store email, and you can't send from a FTH address. Your emails are either on your email provider's server, or on your own computer, depending on your setup.
Why am I getting emails with the name of someone who's left the club?
- Once a name has been associated with an email address, most email programs assume it's not going to change. For the most part, this makes sense, but it doesn't work well for FTH addresses, where the owner can change frequently. You can create an address book entry with the FTH email address and a generic name such as "FreeToastHost Server" or "Club Secretary". If you prefer seeing real names, you can add the current person's name to the entry and update it when a new person takes over.
If you are still seeing the former member's name on new emails, look for an entry in Collected Addresses that's overriding the one you created. If you find one, delete it.
