We are in the process of developing a "work-around" for the current FreeToastHost opt-in process. The reason: very few guests and prospects have any idea what's going on without some communication with us. Hence we have to store their names and contact info outside of FreeToastHost. We always send out a "thanks for visiting" email, text, or call and if we add them to our guest or prospect file right away, the 1st they hear from us is an email to either opt-in or opt-out. Unfortunately the wording in the opt-in email is very techie and not very inviting, it doesn't give them a "warm and fuzzy" about Toastmasters or our Club.

1) By sending email to a Guest or member prospect or new member with out prior written agreement you are breaking the USA/Canada Can Spam act, and the EU privacy laws.
2) All clubs were sent an email from Toastmasters International on the requirements to ensure your club is compliant.
3) By not properly informing your Guest or Member Prospect or New Member that you will be emailing them either from the FTH system or from your personal email you are not compliant with the new regulations.

If you do not use the FTH opt-in you need to have your Guest or Member Prospect or New Member sign this form.

If you have some suggestions for improving the wording of the email, please offer them.

The email is not going away and there are certain things that must be in it. However, beyond that, we do want this to work as well as can be expected within the requirements that it must work within.
