Good morning and thank you so much for your service to FreeToastHost, your service is invaluable and very much appreciated.
Our VPM sent out a meeting invitations and had four email addresses for one guest and three prospects were kicked back. My memory is a little fuzzy about this, but I seem to recall if we use the website email of guests-496@toastmastersclubs.org and prospects-496@toastmastersclubs.org it would change the email address in the membership management file, or does it only do that if a guest or prospect unsubscribes or if there is no email address in the file.

Need more specifics... how where they sent from their email agent (e.g. gmail) or from in Membership Management?

What is "kicked back"? Is there an error message... please post that.

Are you sure that this person is marked as a club officer in Membership Management? That matters.

Thank you for your quick response. Here's the reply from our VPM, Stephanie Furlong:


I'm not quite sure which part they need, so here are the steps I take:

Login as site administrator
Go to Membership Management
Click on the Guests tab
Select all on the list I have open
Go to the drop-down at the top and "send basic email"
Go to the drop-down to the right and select email template (I saved the meeting invitation text as a template, by the way)
Change the date where necessary
Send the email

I do the same process for the Prospects list. For the August 17 meeting reminder, I had 18 emails kicked back; this time only 4 were kicked back. They all had error messages like "user not found," "invalid email address," "user unknown," etc.

Hopefully that gives the detail they are looking for.
