Forwarding Contact Us submissions to Gmail

I've searched this forum and the Email and Contact Forms article on the Support and Development Site, but can't find an answer to my question: Can I have the Contact Us form submissions sent only to a Gmaiil address? My clubs each have a shared Gmail address to which we prefer to receive guests' e-mails (and from which we send e-mails to all members), rather than using any club officers' personal addresses.

If it is possible, I'd appreciate some guidance (or a link to documentation), because I've looked through the Site Administration / Email & Contact Forms, but can't work out how to configure the setting.

Lots of ways to skin a cat. I'd suggest that if you really want to go this route, set up a dummy member called something like {Club Email}, with the club gmail address. Then choose that dummy member as one of your club contacts (or the only contact).

This way all email (not only contact emails) sent to members will also go to the gmail address. One of my clubs does this, and also has the dummy member set up as an "other officer", to get officer emails too.

Alternatively, make your club archive address the gmail addtress. All emails to any club address (not only member and officer groups) will be forwarded there.

Hi Pam! I didn't realise you were so involved with FTH! Small world, eh?

I only want the Contact Us form submissions to go to the shared Gmail, so I suppose the first solution you suggested will be the one to use. I guess I don't properly understand what currently determines where Contact Us forms submissions go. Am I right in thinking that they are sent to the e-mail address or addresses selected in Site Administration / Email & Contact Forms / Contact Us Form / Club Contacts for the "Contact Us" Form? What if none of the three fields is selected ... Where is the form then sent?

Hi Cameron

Yes - the contact submissions go to the up to 3 people selected as the Club Contacts. This works well, especially if officer roles are selected. As an example, my home club has the VPPR (member tasked with getting guests "through the door"), VPM (member who takes over once the guest shows an interest in joining, and backup if VPPR is away), and Secretary (for correspondence register) as the 3 contacts.

If there are no club contacts, the menu item will be inactive.

Added benefits: If you use contact-6006@toastmastersclubs.org (use the appropriate club number) as your contact address in Club Central, those contacts will be forwarded to the same 3 members, and your basecamp notifications will be redirected to your VPE, President and Secretary (as set up on your website). Make sure you enable the "Contact us" email address in Email and Contact Forms for this to work ( support.toastmastersclubs.org/doc/item/email-and-contact-forms )

By the way - your Clayfield club contact address in Find-A-Club is directed to your officers group. That won't work, as that group is only accessible by members. You should fix that.

If you set up a "dummy member" as Pam noted above, you can select that dummy member to be a Club Contact. Since that dummy member could have any email address you enter, you could use that approach to have the contact form submissions go to an arbitrary email address. You just have to handle the opt-in for the dummy member when you add them to the Membership Management table.
