Agenda template -- role visibility
2 years 5 months ago
Hi there. As our club SAA and this week's Toastmaster, I'm testing out the FTH Agenda capability, but only for the preparation of an agenda confirmed outside of FTH (not allowing users to sign up or edit roles in FTH). I'm trying this because members are having a hard time formatting the MS Word agenda template that we have used for years. Anyway, we have time built into our agenda for role changeovers -- 1 or 2 minutes in several places throughout the hour. I had to enter them into the FTH agenda as "role changeover" time slots, as I couldn't manually edit the start time of roles to factor in any buffer time. I have the role changeovers set to NOT allow members to sign up for it, to NOT appear on the printed meeting agenda, and to NOT track in meeting history. Is there a way to have it completely omitted from even the onscreen agenda? I don't want to see it at all really. If that's not possible, I have another question. Although they are all using the same settings, some of the role changeovers are providing a drop down menu to assign the role and others are not. Why would this be happening? Thanks!

1) We always need to know your club number.
2) if you are talking about the Agenda, are you talking about a template, if so what is it's name?
3) If you are talking about a dated Agenda what date?
4) Do you really think you need to count for every movement in an agenda? Why not just add a minute or 2 to the major roles that would absorb the change over time?

Hi Brian. Sorry that I'm out of practice with making posts.
Our club number is 8213. The agenda is a template and it's called Apex Toastmasters 7pm. Although I've also created an agenda from it for tomorrow's meeting. The reason I don't want to add time to the roles to accommodate the changeovers is that I don't want members to think they can take all of that time in their roles. The members and attendees should know the real allotted time for each role.

Also had one more question on the agenda template. We like to include the speech objectives for the prepared speeches. Although I've added it to the Speaker Introduction box on the agenda, it's not showing up on the Printed agenda. Is that possible?

I think you will find that level of detail will be harder to manage and very difficult to print on a single page.
It is your club and the Agenda Tool will allow you to do what you are looking to do, except all roles show on the online agenda.
