Creating and editing agendas

3 years 5 months ago

Hello, I couldn't find this question or answer, so I hope it is not a repeat.  (I apologize if it is.):  A couple of years ago when I was VPE and creating an agenda every week, I would finalize the agenda and mail it to all members.  I only sent it ONCE.  it only went out ONCE.  Now, when our VPE is editing an agenda, EVERY TIME he fills a role or makes a change in the agenda, the website sends an email to the club.  Some weeks that can be 6-8 emails notifying everyone of a change.  Is there a way to STOP THAT, so that ONLY ONE email is sent, and then, ONLY WHEN THE AGENDA IS FINALIZED?

Thank you,
Joe Kastely

Refer to the agenda settings documentation here:  support.toastmastersclubs.org/doc/item/agenda-default-settings
You might want to change your notification settings, and leave the two check boxes near the bottom blank, especially if roles are assigned by your VPE

Thank you.
I unchecked the following boxes in global settings:
Also notify affected members of role assignment changes made in the dated agenda editor. Also notify affected members of attendance changes made in the dated agenda editor.

...and did a test.  No emails went out.  This way, the editor of the agenda (presumably the VPE) can send the agenda only once, when it is finalized, and the website will not send an email every time a role is changed.
Regards,
Joe

Your club decides how it wants the agenda to run and what emails are sent out.
You need to read the documentation and train your members and then ask your club members how the want it to run. move emails or less.
