How can we hide the past meetings from the selection without deleting the meeting?

It's not possible at the present time to hide all of the past agendas. By default, only the agendas in the last 45 days will be visible.

If you think that it should be possible to hide all past agendas, you can post a message in the Improvement Suggestions forum. Depending partly on how much support it gets, it may be implemented in the future.

Thank you for your help, I think that the functionality would be useful, anyway if this feature (that the agendas are archived after 45 days) is mentioned in the back-office and in the manual it will help to understand how it works.

I had my club deleting all the past agendas because they couldn't find how to eliminate them from the list :(

The agendas older than 45 days aren't archived, but not visible in the drop-down list by default. They still appear in the club calendar.

The 45-day rule is referred to in the doc support.toastmastersclubs.org/doc/item/agenda-members-view . I've highlighted a bit to help make it clearer. I may also add a screenshot.

Great thank you agaim, if I can give a suggestion I would say to add this explaination to the "DELETE AGENDA" page in the manual. And maybe mention it in the alert poppy when deleting the agenda. I'm sure it will help many clubs to keep their history safe :)

The wording in the delete pop-up:

Are you sure you want to delete this meeting agenda? This can not be undone. If you delete it, the roles will not be added to the historical reports. If you are sure, type the word DELETE below to confirm, then click the Delete button.


(I added the bold above.) The sad fact is that we find that even when we try to ensure people read warnings, we frequently find the warnings are ignored. :( We do try to do our best on these things, but we can only do so much "hand-holding". :unsure:
