Support for video conferencing
5 years 8 months ago - 5 years 8 months ago
In the midst of the COVID-19 pandemic, many clubs are opting to use some form of video conferencing to allow for virtual meetings. The details of the myriad of cloud based video conferencing tools vary a bit, but, in general they all use a unique meeting identifier, also allow for a PIN or password to limit access, and have a URL used for joining meetings based upon the meeting identifier (and occasionally, incorporate both meeting id and password into hashed text that allows for one click meeting connection).
FTH has create support built-in now for meeting venues, but it needs to add support for video conferencing for meetings that are either exclusively virtual, or a combination of virtual and live (at the specified venue).

1) You can use the Venue for your video conferencing link
2) Do NOT post your PIN / password in public spaces
3) Use the contact form to establish a dialog and email your guests with pin /password

I am aware of what I can do with the venue, but, it doesn't fit video conferencing needs in my opinion; I using a named venue as a workaround until better support is added.
The live venue also does not address something I imagine will be a legacy of dealing with COVID-19, namely that some people will come to appreciate video conferencing and want to attend live meeting this way. Need both to satisfy this use case.
Also, assuming that support is added, please don't forget to provide appropriate web variables like {{nextmtgVCurl}} and {{nextmtgVCid}}

I can appreciate where you are coming from, but I specifically added the venue notes field to address miscellaneous stuff like this. For every scenario that I try to make the system accommodate, there will be five others that people will think up something else that "must be accommodated"... I have been trying to strike the right balance between adding features that are useful to as many clubs as possible without leading to a big feature glut mess.

The notes field of venues is a convenient place to put some information and, I am using it for a Zoom one-click URL to connect to the video conferencing we are using. This works for us today because all we can do is meet virtually.
But, there is only one venue for a (live) meeting. This isn't true of video conferencing, and ignores that VC service(s) are often added to live events.
So, today there is an adequate workaround. Perhaps our club is an outlier, but I am guessing we will not be the only club transformed by virtual attendance of our Toastmaster club meetings.
I think the implementation of meeting venues is a good template for adding video conferencing details to meeting agendas.
