Our club requests visitors to complete a Visitor form - which includes info as to why they are visiting / what they are lookin for. Until recently, it was a form they filled in just before the meeting, and then given to the Club President to help introduce the guests.

I think that this info would be useful for the VPE and VPM if that visitor converts into a member - in terms of understanding their 'Why' of joining - focusing encouragement if the new member's enthusiasm wanes.

But first off - it would be useful for collating all the info in one place for the Club President to read off - currently get a mix of PDF, Word, Text notes back from visitors.

Maybe just a couple of more fields that could be added to the Contact Us form - and then these get carried over to the Prospects / Members lists. Currently the Contact Us info - How Did You Hear About Us, and Your Message / Interested in gets lost after it is sent to the designated recipients. Any reason why we don't keep that Interest information? It's useful in followup emails - but only if the recipients make a note of it outside of FTH3.

Due to privacy laws we have been informed not to keep personal information on the website other than what is entered by the member. TI asks that all clubs keep membership forms and such in a secured and locked place.

That sucks - that you can't save info that they joined TM as they're starting a new business, new jib or role, or just for social outlet. Hardly very private into - you can invariably pick any of that up from LinkedIn and /or FB.

Given that people are interacting with clubs electronically now - email, WhatsApp, Messenger to provide that info makes the securing of it more challenging.

I am also involved in data. Sometimes data privacy laws can mess with common sense.

People are now in control of the information posted about them. They can post anything they want about themselves in their profile, just you cannot.

Jeff: You can certainly also customize the greeting message for the Contact Us form to request certain details be provided there in the notes, but yes, as you observe, we will only save name, email address, and (maybe) phone number (if at least one club contact enables their phone number to also be shown), and even then, that is only saved if the checkbox is checked.

As Brian notes, this is very much tied to the prevailing privacy laws and restrictions as we understand them. These may well be a bit looser in your locale, but we really don't have the resources to make our code adjust our limitations and "guardrails" by locale, especially since the prevailing laws/restrictions are likely to continue to change and evolve. So for now, it is a "one size fits all" approach, regardless of locale, and we just try to find ways to make it tolerable while meeting what we understand to be the required need.
