FTH responded to a change in Gmail behavior

Some club's will find some of their member email addresses were replaced by the 'noemail' placeholder. This was caused by a change at Gmail and FTH has made the necessary adjustments to restore function. Affected clubs will need to restore their member's email address. If there is a bounce count error with the address please let us know on the forums.

Who do you give access to mofifying the created agenda.
Once the Agenda is created using a template there should not be any reason to modify it other that assigning people.
Once again fix the old agendas to make your reports only show the correct roles.

1. open agenda
2. click on PENCIL icon to EDIT agenda
3. use the TRASH CAN ICON to delete a role.
 

To Richard's most excellent point of limiting edit power,  most clubs limit to VPE & Toastmaster of the Day... and maybe one other experienced FTH user who can help.  Those powers are handled in 2 locations and discussed in the FTH documentation.

New members have made multiple duplications of the same role. 
This is the problem. I would restrict all access, set up the template you want, put the VPE in charge and not let anyone have agenda edit access until they understand how the system works. This includes removing agenda edit access to roles if a newer member signs up for it.

Key downsides of multiple names for the same role is the role reports and the 'assign role' drop down will be a train wreck. On the other hand, if you delete 37 stray instances of Ah/Gram, those members will lose their role participation history in your FTH site. FTH provides a way to deal with this; Role / Agenda Item synonyms. See this document;



You might want to set up the synonyms rather than delete the stray role histories so members can retain their participation history. (after fixing the root cause of the problem and establishing a master agenda so you don't have to continually deal with the issue and add to the role synonyms.)

What is your club number? We may be able to provide more specific pointers once we can study what is actually happening in your agendas.

I replied directly to rhtaylor3, but I haven't seen it post, so I must have done something wrong.

I think I understand why you don't want to delete any role names.

So, I did what your suggested
  • I created synonyms
  • I went to the Roles/Agenda Item Title typed in a role, and I still saw all the synonyms in the dropdown.
  • Then I saw in the fine print that it will only be "seen in reports". 

Is there any way that those synonyms can be "hidden" in the "Roles/Agenda Item Title" dropdown? This would be very helpful.
(I can't seem to figure out how to add images, I hope there isn't a misunderstanding as to what I am talking about.)

May I suggest that you also add a "show/hide synonyms" option (default to hide), that way the person creating the agenda items can decide what they want to see.

You don't delete the non-standard role name you FIX them to what ever your standard is in your club.

Brian,
I think the point is getting missed. I don’t want to sift through a long list of titles that are outdated, inconsistent across webmasters, or include errors like misspellings that end up sticking around permanently.

Please explain how a misspelling can be FIXED, so that the misspelled title is no longer displayed in the Role/Agenda Item Titles dropdown list.
